Subject: CCCTS Comox Valley Chapter – Return to Club-Sanctioned Weekly Rides

Dear << first name >>

Your Comox Valley Executive Team is pleased to inform you that the Comox Valley Chapter is moving to the next phase of weekly rides.  Recently, it was proposed that weekly rides remain informal.  Now, with some key items in place, it will be possible to move to club-sanctioned group rides. The protocols listed below were unanimously approved by your Chapter Executive.

In summary, two key things are required before weekly club-sanctioned group rides can recommence.  Every rider wishing to participate must complete a one-time waiver which is valid for the remainder of the 2020 season.  Also, volunteer “Ride Leaders” will be needed.

Ride Leaders are not the same as “Ride Coordinators” as listed in our 2020 ride schedule.  The people who volunteered to be Ride Coordinators are under no obligation to be a Ride Leader on the week that they were scheduled to coordinate a ride, although this would be very much appreciated.  Currently club-sanctioned rides are limited to a maximum of 6 riders per group and a Rider Leader volunteer will be needed for each group of 6.  If this limit changes, we will revise the protocols accordingly.

The protocols are as follows:

  1. Anyone wishing to participate in a club-sanctioned ride for the remainder of the 2020 season will sign the updated CCCTS Waiver Form and scan it and email a PDF copy to comoxvalleyridecoordinator@gmail.com. One completed waiver is sufficient for all remaining rides in 2020.
    • Do not bring paper copies to the rides. Ride Leaders will not be obligated to accept material from riders. There will be no passing around of paper and pens.
    • The “date” on the form should be stipulated as “Multiple Dates 2020”. The “Location” on the form should be “Multiple Locations around the Comox Valley”.
  2. The Chapter Ride Coordinator will save the PDF’s and generate a list of all people who have submitted the waiver. A copy of the list will be made available for all.
  3. All remaining rides for the year will be “Choose a Ride” and the meeting place will be the Filberg Centre parking lot. There will be no out of town rides. Start time will be 9 AM in July and August; 10 AM in September until the end of season.
  4. Riders will assemble in the Filberg Centre parking lot being sure to maintain appropriate physical distancing.
  5. Anyone who is willing to be a Ride Leader should be familiar with the list of people who have signed the waiver. They should read and/or download a copy to their mobile device ahead of time.
  6. Riders will choose among themselves who will be Ride Leader(s) for the day.
  7. Each Ride Leader…
    • will be responsible for a maximum group size of 6
    • will ensure that all members of their group have previously submitted the signed waiver
    • will make a list of the riders in their group and email that list to the comoxvalleyridecoordinator@gmail.com at the completion of the ride in the event that contact tracing is required
    • will follow the Ride Leader Guidelines in the CCCTS COVID-19 National Safety Plan
  8. The Chapter Ride Coordinator will compile and save the rider lists in the event that a rider tests positive for COVID-19 and contact tracing is required.

A note for potential Ride Leaders

If you are willing to be a Ride Leader, please indicate as such in the email you send to the Comox Valley Ride Coordinator along with your waiver.

When will the first club-sanctioned ride be?

That depends on how quickly interested members return their completed waivers. A link to the document mentioned in protocol #2 will be made available to all.  It will list all those who have returned their waiver and those willing to act as Ride Leaders.  That link will be emailed very soon.

What’s that you say?  You don’t have a scanner?

Did you know that the “Notes” app on iPhones and IPads can scan documents and create a PDF.  Click on the “+” button to create a new Note and choose “Scan Documents”.  Once scanned, you can attach the scanned document to an email within the app.

What’s that you say?  You don’t have a printer or wish that you could form-fill a PDF and sign it without having to print it first?

With the free Adobe Acrobat Reader DC app on your PC, you can do just that.  Download it here.  This example signed waiver was done using the free app.
